Who LeaseMyBike is
LeaseMyBike is one of Austria’s leading bike-leasing platforms. Employees choose a bicycle in a shop of their choice, the employer settles it through payroll, and Austrian tax rules turn that into a cheaper bike with full insurance cover and support, at no cost to the employer. LeaseMyBike is the best-known company of the Pinoma holding, a group of four companies. Gerhard Mayrhofer founded and runs the group; Angelika Galos is responsible for HR and accounting at the holding.
From Excel lists to one tool
Like many start-ups, the group began with attendance tracking in Excel lists. The goal was to digitize that step by step, but without burdening employees with several tools: attendance time, project time and the internal cost allocation between the holding and its subsidiaries were to live in one solution with as little extra effort as possible.
We were looking for time tracking that also does project time tracking, so that we can see what a project needs and, above all, how it is allocated internally.
Internal cost allocation at month end
Digitization is the group’s guiding principle, on the customer platform and internally, so that staff have time for people rather than administration. Angelika Galos, for example, is employed by the holding and works for all subsidiaries. Her time is booked on projects in time cockpit, which works closely with the group’s ERP system. Attendance time, meanwhile, flows to the external payroll provider.

Integrations and the API as a selection criterion
Flexibility and an Austrian vendor were important to Galos. For Mayrhofer the decisive criterion was the API: every new software at the group must be controllable via API, because data from upstream systems may need to flow into time cockpit later. None of that is built yet, but the group wanted to be ready for it.
Working with the time cockpit team
Galos describes the support as excellent: reachable, friendly and knowledgeable, and where something did not exist yet, the team found out how to do it and delivered quickly. Mayrhofer adds that the collaboration was proactive and hands-on, with a lot of experience flowing into the project.
Outlook
The group is considering connecting further departments more deeply and raising the degree of automation. For now, Mayrhofer says, most of it is done and the setup is in good shape.
